The Medical Memory is a secure, HIPAA-compliant mobile and web platform designed to keep your personal health information safe. The system is made up of two main parts: a mobile app for recording important conversations and a web app for safely viewing and sharing those videos.

Mobile App Security: Protecting Your Information
Our mobile app is built to protect your privacy every step of the way. You can use the app on iPads, Android tablets, or your own phone. Here’s how we keep your information safe:

Device Authorization: Only approved devices can use the app. When you first set up the app, your device gets a special code, making sure that only trusted users have access.

Provider Access: You will choose your name from the drop down of providers. The video is automatically shared with the Workmen’s comp team once submitted. New users are asked to confirm their information and agree to our privacy terms.

No Videos Stored on Devices: Videos are never saved on your phone or tablet. After you record a video, it is uploaded straight to a highly secure online cloud storage, and the video is erased from your device immediately. This means if your device is ever lost or stolen, no videos or private details remain on it.

Safe Uploads: Every video is sent to the cloud through a strongly protected, encrypted connection, making it extremely difficult for anyone to intercept or access your data during upload.

Web App Security: Safe Viewing and Sharing
The web app allows you to watch and share your videos safely and easily:

Secure Storage: Videos are saved in a highly secure online cloud that uses strong encryption to keep your information private.

Protected Viewing: If a patient wants access to a video, they email the workmen’s comp team that creates and sends a special link just for you that works for a short period. This prevents anyone else from using the link or accessing the video. Only those videos requested can be shared with the recipient. Sharing is done by sending invitations to trusted email addresses through a login verification.

User Controls: Only the state of Washington manager can access to the content itself.

Private Network: All sensitive health information is kept in a secure area of our system that is hidden from the general internet.

Firewalls and Security Checks: We use advanced digital locks and regular updates to keep out unwanted visitors and fix any new security issues as soon as possible.

Safe Backups: Your information is backed up every night and stored in a separate, safe location, so it’s protected even in an emergency.

Video Storage and Playback: Total Peace of Mind

Encrypted Storage: All videos are kept in encrypted form, so even if someone tried to access them, the information would be unreadable.

No Downloads: Videos are streamed securely and can’t be downloaded, which prevents copying and sharing without consent.

Nothing Left on Devices: As soon as a video is sent to the cloud, it is wiped from your device, providing extra security if a device is misplaced.

Where do I get an Authorization Code?​

Firms may already have a device, like an iPad, set up with the Medical Memory Provider App. If your firm does not have a device, it's easy to download and set up!

Obtain Authorization for the Medical Memory Provider App from the State of Washington by emailing IMEThirdPartyRecording@lni.wa.gov. A unique, single-use Authorization code will be provided.
How long of a video can I record

There is no time limit on recording length. Please note that video upload will vary based on the length of the video and your internet speed.

You may record back to back even if the previous video hasn't fully uploaded yet.

Leave your Medical Memory App open for a few minutes to ensure longer videos fully upload.

Check the status of the upload from the App homepage by tapping the Upload Cloud in the upper right corner.
I can't see the authorization code in the iOS App

Ensure that your device is not in dark mode. Dark mode contrasts the display.

You can temporarily turn off dark mode while entering the authorization code and then turn it on once that's complete.

Can I, as an Examiner, view the video I recorded?

The videos are uploaded to a secure site that is accessible by IME Program Coordinator team only.

To request access to a video email: IMEThirdPartyRecording@lni.wa.gov. Include the Date of the IME, Claim # and Worker Name.
